Private AI Systems

Your company's knowledge, running on a machine you own

We put an AI system in your building, connect it to your files and your business software, and hand the whole team access. Your documents never leave the network. There is no seat count to grow.

What it is

A local AI machine, wired into your business

Private AI means the model runs on hardware you own instead of somebody else's cloud. We deploy NVIDIA class local AI machines, load them with capable open models, and connect them to the places your information already lives.

Your team gets a chat box that looks like the one they already use. What sits behind it is the difference. Ask what the warranty terms were on the Henderson job and it reads your contracts. Ask it to draft a reply to an angry customer and it knows your policies, your pricing, and what you told that customer in March. None of that goes out over the internet to get answered.

The first thing we test on any deployment is whether it can answer a question about a four year old change order without somebody telling it which folder to look in. When that fails, the model is almost never the problem. Your file storage is.

This is not a science project in a closet. It gets treated like the rest of your infrastructure: on the network, backed up, monitored, patched, documented.

Proof

Chuck gets asked this constantly

"How are you using AI without handing over client data?" It comes up on every call, and he made a video about it for his contractor audience.

Using AI without exposing client dataFrom Chuck the Contractor. Same question every business owner with confidential files ends up asking.
What it replaces

One system instead of a subscription pile

Most companies did not choose an AI stack. It accumulated. A department signed up here, a manager expensed a tool there, and now four vendors hold pieces of your work.

What you are probably paying for now

  • Chat assistant seats for anyone who asks for one
  • A meeting notes tool billed per attendee
  • A document search or knowledge product on top of your file storage
  • Transcription, summarization, and writing add ons attached to other software
  • Whatever your staff signed up for personally, on company documents

What the private system does instead

  • One assistant for the whole company, no seat count
  • Search and answers across your own documents and records
  • Meeting notes and summaries processed on site
  • Workflow automations running against the same knowledge
  • A sanctioned tool, so staff stop pasting company data into personal accounts

Hardware is a one time purchase. Support is a monthly agreement you can size to what you actually need. We will show you the comparison against your current subscription spend before you buy anything.

Privacy

Where your data goes, in plain terms

"Private AI" gets used to describe five different setups. Here is the ladder we work from, and we recommend the simplest rung that fits your risk, not the most expensive one.

Setup Where processing happens Good fit for
Public tools with business controls Vendor's cloud, with contract terms about training and retention Low sensitivity work, fast rollout, small teams
Private cloud tenant Cloud resources isolated to your account or instance Distributed teams, moderate sensitivity
Hybrid Sensitive retrieval and inference local, selected tasks in the cloud Most companies, honestly. Best balance of cost and control
On premises Models, documents, and inference all on your hardware Confidential knowledge, regulated data, predictable volume
Air gapped No routine outside network connection at all Restricted environments where isolation beats convenience

Being honest about what local hardware does not do

Putting a server in your building does not by itself make you compliant with HIPAA, CMMC, or any other framework, and anyone who tells you otherwise is selling you something. Local deployment supports a compliant architecture when it is combined with the right access controls, logging, backup, physical security, policy, and human review. We build those pieces in and we say plainly which ones are your responsibility.

The deployment

What you get when we install a private AI system

Hardware and setup

  • NVIDIA class local AI machine sized to your team and workload
  • Installed on your network, with power, cooling, and placement sorted
  • Models selected and tested against your actual work, not a benchmark
  • Backups and a recovery plan, because it is now business infrastructure

Your knowledge, connected

  • Document repositories, shared drives, and email where it makes sense
  • CRM, ERP, project, and job systems through their APIs
  • Role aware access, so answers respect the permissions you already set
  • Answers that cite the document they came from

People and aftercare

  • Role specific training, so people know what to use it for
  • A written acceptable use policy your staff can actually follow
  • Documentation and credentials handed to you, not held over you
  • Monitoring, updates, and model refreshes under a support agreement
Questions we get

Straight answers

Is a local model as good as the big cloud ones?

For general reasoning at the frontier, no. For answering questions about your documents, drafting from your templates, summarizing, extracting data, and running your workflows, current open models are more than good enough, and they get better every few months. We test against your real work before you buy, and we will tell you if a job belongs in the cloud.

What does a system like this cost?

It depends on team size, how many systems we connect, and how much custom work is involved. A focused first deployment is a five figure project. A company wide build with multiple integrations and custom software is larger. You get a fixed scope and a number before anything is ordered, and the assessment fee is credited toward the build.

How long does it take?

Weeks, not quarters. A bounded first deployment is typically live and in use inside a month or so once hardware is on hand. Bigger programs run longer, but you should be using something real early instead of waiting for a launch date.

What happens if we stop working with you?

You keep the hardware, the configuration, the documentation, and the credentials. The system keeps running. We will help hand it to your IT people or another provider. No hostage software.

Do we need to replace our IT provider?

No. We work alongside whoever handles your IT. If you do not have anyone, or the AI work exposes gaps in your network and security, we bring in our own senior people and vendor partners to handle it.
